#### Step 1: set up category overrides for inquiry emails

A missed inquiry is a missed opportunity. Set up rules to make sure the most important ones always get a response.

Go to [Dashboard](https://app.fyxer.com/) → Categorization → Advanced → Custom rules. Add rules for:

* Key client emails addresses for buyers, sellers, and active prospects, so their emails always land in **To do/To respond**
* Legal representative and mortgage broker email addresses for deals in progress
* Property portal notifications, so new inquiry alerts surface in the right place and don't get buried

The goal: when you open your inbox between viewings, the emails that need your attention are easy to track.

#### Step 2: use follow-up drafts to stay on top of viewings and check-ins

Post-viewing follow-ups are where deals are won or lost, and they're easy to miss when you're back at your desk with a full inbox.

Go to [Dashboard](https://app.fyxer.com/) → Drafts → General → Enable follow-up drafts and set your preferred timeframe.

For real estate, a one to two day follow-up cycle is usually right.

Fyxer will draft the follow-up before you've even had to think about it. Review, edit if needed, and send.

#### Step 3: add your scheduling link so clients can book directly

Booking meetings takes up valuable time.

The fix is simple. Add your Fyxer scheduling link to your email signature so clients and prospects can book a time without the email exchange.

To customize your scheduling link, go to [Dashboard](https://app.fyxer.com/) → Scheduling and configure your availability windows, buffer time between appointments, and add any minimum notice period. Then copy the link.

Add it to your Gmail or Outlook signature as a clean, direct line: "Book a call or viewing: \[your link]."

When someone clicks it, they see your real availability, pick a time, and it lands straight in both calendars.&#x20;

#### Step 4: use Fyxer Chat to search across threads mid-deal

Property deals involve a lot of people across a lot of threads and key details become scattered across weeks of email.

When you need to find something fast, don't scroll. Ask Fyxer Chat.

"What's the latest status on \[property address] from the buyer's legal representative?"

"Summarize all emails about \[client name] in the last two weeks"

"Have I had any replies from \[mortgage broker/legal representative name] that I haven't responded to?"

**Keep your custom rules current**\
As new deals come in, add rules for new contact emails and domains. A few minutes of setup each week prevents a new inquiry getting misfiled when you're out of the office.

**Use Chat for a weekly pipeline audit**\
At the end of each week, prompt Fyxer Chat to: "Review my inbox for the past 7 days and flag any buyer or seller threads I haven't replied to." It takes 30 seconds and catches anything that's slipped.

### Common mistakes to avoid

**Not setting follow-up drafts for post-viewing threads**\
This is the most common gap. The viewing goes well, the follow-up doesn't happen fast enough, and the buyer goes cold. Enable follow-up drafts with a short window to make sure nothing gets missed.

**Setting draft expiry too short**\
Property timelines stretch, so set your draft retention window to match the longest realistic gap in your pipeline. Go to [Dashboard](https://app.fyxer.com/) → Drafts → General → Draft settings and amend the timeframe to avoid Fyxer drafts being deleted prematurely.

**Not using Notetaker**\
