Fyxer handles the back-and-forth that comes with booking meetings. Whether you want to share a link and let someone pick a time, or have Fyxer suggest slots inside an email draft, it all stays connected to your live calendar.

Two ways to schedule

Fyxer supports two approaches and most users end up using both, depending on the situation.

  • Scheduling links let the other person choose a time. You share your link, they pick a slot, and the meeting lands in both calendars automatically. No follow-up needed

  • Scheduling drafts propose times inside an email reply. Fyxer checks your calendar and writes a draft with available windows – useful when you want to stay conversational or keep control of the timing

Both respect your availability, working hours, and time zone.

Your scheduling link shows your live availability and updates automatically as your calendar changes. Share it anywhere – an email, your signature, LinkedIn, WhatsApp – and Fyxer handles the rest.

To find and share your link:

Go to Dashboardarrow-up-right → Scheduling → Links.

You'll see your personal booking link with options for different meeting lengths (15, 30, 45, or 60 minutes). Click Copy link next to the duration you want, then share it.

When someone books through your link:

  • The meeting is added to your calendar

  • The attendee receives the calendar invite

  • Notetaker joins automatically, if you have it enabled

Your link always reflects your real-time availability – you don't need to update it manually.

Scheduling in email drafts

When Fyxer detects a meeting request it can include your scheduling link automatically or propose specific time slots in draft replies.

To control whether your scheduling link appears in drafts:

Go to Dashboardarrow-up-right → Scheduling → Drafts and toggle the setting on or off.

You can edit your availability, connect additional calendars, and use the troubleshooting view for an easy overview of when Fyxer thinks you are available.

Manually trigger a scheduling draft

Forward any email to [email protected]envelope with the word "schedule" in the body. Fyxer generates a reply with available times. You can also add context: "Suggest times after 3pm" or "Next week works best," and Fyxer will factor that in.

Scheduling with multiple attendees

If an email thread involves more than one person, you, or anyone else who receives your scheduling link, can add additional attendees. Fyxer checks availability across all calendars you have permission to view to find a suitable slot. Once a time is confirmed, everyone receives the calendar invite.

Fyxer can only check availability for calendars you have permission to view. If someone's calendar isn't visible to you, their availability won't be factored in, but they can still be added as an attendee.

Using a third-party scheduling tool

If you already use a scheduling tool like Calendly, Cal.com, or HubSpot Meetings, you can keep using it alongside Fyxer. Connect your existing link and Fyxer will use it in draft replies instead of the Fyxer booking page.

Keep in mind that some of Fyxer's smarter scheduling features, like real-time availability checks, smart slot suggestions in drafts, and auto-follow-ups, won't apply when using a third-party link.

Time zones

Fyxer handles time zones automatically. When you share a scheduling link, availability displays in the recipient's local time. And when Fyxer proposes slots in a draft, it uses your calendar's time zone as the reference.

To check or update your time zone:

Go to Dashboardarrow-up-right → Scheduling → Availability and confirm the setting matches your calendar.

Check your timezone setting in Dashboardarrow-up-right → Scheduling → Availability → Time zone. Also make sure your connected calendar's time zone matches.
